Case Manager Position Overview:

We are seeking a compassionate and experienced Surrogacy Case Manager to join our team at Family Choice Surrogacy. The Case Manager is responsible for guiding and supporting intended parents and surrogates through the surrogacy journey, ensuring a smooth and positive experience for all parties involved.

Please note: This position will start as part-time and transition to full-time within 6-12 months. 

 

Key Responsibilities and Accountabilities:

CASE MANAGEMENT—Act as the main point of contact between intended parents, surrogates, fertility clinics, mental health professionals, legal experts, insurance agents, hospitals, and other relevant parties. Facilitate key stages of the surrogacy journey, including the screening, cycling, pregnancy, and delivery phases. Responsibilities include organizing evaluations, medical screenings, and tracking the outcomes of appointments. Maintain regular communication with intended parents and surrogates in line with established protocols.

CLIENT SERVICE FOCUS—Provide personalized, concierge-level support for intended parents and surrogates, including regular updates and guidance. This role is responsible for arranging gifts, sending celebratory items, coordinating appointments, and more as necessary.

TRAVEL COORDINATION – Oversee transportation and accommodation arrangements for surrogates as needed for medical appointments, including embryo transfers and screenings. Manage payments in coordination with the intended parents for related expenses.

INSURANCE MANAGEMENT—Collaborate with insurance specialists to oversee insurance matters related to surrogates and/or newborns. Ensure necessary documentation is collected and submitted to facilitate insurance searches, health plan reviews, and other insurance-related activities.

FINANCIAL MANAGEMENT – Handle financial elements related to the surrogacy process, such as tracking disbursement requests, processing lost wages, and managing payments to the surrogate based on her legal contract. Conduct escrow audits to ensure accounts remain properly funded throughout the surrogacy journey.

MEDICAL CARE ARRANGEMENTS – Coordinate medical monitoring at local fertility clinics for surrogates. As delivery approaches, work with intended parents and surrogates to develop hospital birth plans. Liaise with legal professionals to ensure hospitals have the necessary surrogate birth information and advise intended parents on essential preparation steps.

RECORD KEEPING – Maintain accurate and up-to-date records in various electronic systems. Provide regular status updates during staff meetings, and participate in conferences and other relevant business events as required.

Qualifications:

Required Experience: A minimum of two years of direct experience in case management within the surrogacy field is essential. Familiarity with third-party Assisted Reproductive Technology (ART) is a must.

Empathy and Compassion: The ability to empathize with and understand the emotions, concerns, and hopes of intended parents and surrogates is vital. This role requires providing thoughtful support and connecting them with mental health resources when necessary.

Strong Communication Skills: Clear and effective communication, both written and verbal, is crucial. You’ll be expected to interact with a diverse group of stakeholders, including intended parents, surrogates, and medical and legal professionals.

Organizational Skills: Excellent organizational skills are necessary to juggle multiple tasks, appointments, and deadlines. Attention to detail and the ability to keep accurate records while managing various administrative duties are key to success.

Professionalism: Maintaining a high level of professionalism in all client and colleague interactions is essential. You should be able to handle challenging situations gracefully, uphold strong ethical standards, and represent the organization with poise.

Location Preference: Ideal candidates are located in the Midwest or East Coast, within CST or EST time zones.
